Billing Coordinator

St. Louis, MO

Armstrong Teasdale is seeking a Billing Coordinator to join its St. Louis office. The coordinator is responsible for overseeing the billing process through its entirety. The ideal candidate is professional in demeanor, able to work as team with attorneys and staff, and understands the importance of upholding client confidentiality. Attention to detail and strong organizational skills are required for success in this position.

Our attorneys and professional staff work together to guide clients through virtually every challenge, from day-to-day operational decisions, to some of the most difficult legal matters.

Duties and Responsibilities:

  • Handle high volume of bills per month.
  • Execute complex bills in a timely manner (i.e., multiple discounts by matter, split-party billing, and preparation of electronic bills).
  • Work with Client Intake Department to ensure billing guidelines are being followed in initial client and mater system setup.  
  • Review and edit prebills per proper attorney instruction.  
  • Responsible for correct retainer application procedures.
  • Maintain and ensure compliance with billing guidelines and billing arrangements.
  • Ensure compliance with existing firm billing/electronic billing policies and procedures.
  • Partner with attorneys to coordinate proper resolution to issues related to billing, WIP, and client concerns.
  • Monitor and resolve all rejection and transmission issues while maintaining client specific billing processes and procedures related to electronic bills.
  • Work with team members for trouble-shooting and conflict resolution of billing issues
  • Communicate changes in billing procedures to ensure compliance with billing requirements and to ensure invoices will not be rejected.
  • Fulfill client requests for additional or supporting documentation as required.
  • Submit all electronic invoices in a timely and appropriate manner.  
  • Maintain updated digital copies of Client Billing Guidelines, including a client summary of those guidelines.
  • Maintain electronic billing documentation by summarizing all basic electronic billing instructions for submission and problem resolution by client.
  • Assist other billing/electronic billing coordinators as needed.
  • Assists with special projects as needed.

Education and/or Experience:

  • Legal billing (Electronic Billing Hub and websites) experience is preferred.
  • 2-4 years’ experience in a legal and/or office environment.
  • Proficiency with MS-Office suite (Outlook, Word, Excel).
  • Minimum of High School Diploma or equivalent.

The position reports to the firm's Human Resources Department.

Duties and Responsibilities:

  • Contact clients and opposing counsel for the scheduling of appointments and maintain timekeeper calendars.
  • Communicate directly with clients in a professional manner.
  • Review and proofread all documents produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits or enclosures are intact before distribution.
  • Provide document production services in accordance with the requirements of assigned timekeepers.
  • Maintain client files - electronic scanning.
  • Assist attorneys in the review of billing statements.
  • Act as liaison between attorneys and paralegals with regard to prioritizing workload and deadlines.
  • Coordinate and make travel arrangements.
  • Communicate information and updates on projects to appropriate timekeeper.
  • Prepare assignments according to required specifications.
  • Perform conflict checks and file openings.
  • Perform other duties as assigned.

  • Possesses outstanding proofreading skills.
  • Requires the ability to regularly report to work on the days and times scheduled.
  • Willingness and desire to attend training classes to maintain and increase technical skill sets.

Education and/or Experience:

  • High school diploma or GED required.
  • Proficient in Microsoft Office 2010.
  • Electronic filing experience is a plus.
  • Minimum of two (2) years legal or office experience preferred.
